QuickBooks Time Tracking FAQ

How QuickTrack clocks employees into QuickBooks Desktop jobs from a phone.

Does QuickBooks have time tracking?

QuickBooks Desktop includes a weekly timesheet where employee hours are recorded against customers and jobs, but it has no built-in way for employees to clock on and off from a phone. QuickTrack fills that gap: employees clock time on mobile, and the approved hours land directly in the QuickBooks Desktop weekly timesheet.

How does QuickBooks time tracking work with QuickTrack?

An employee signs in on their phone, picks an open QuickBooks job, and taps Clock On. They can clock off, or switch straight to another job — the first entry ends at the same moment the next one starts. At the end of the day an admin approves each day's entries, and at the end of the week (Sunday through Saturday) the week is approved. Approved hours then sync into the QuickBooks Desktop weekly timesheet through the QuickBooks Web Connector, with the job, service item, and payroll item attached.

Does QuickTrack work with QuickBooks Desktop or QuickBooks Online?

QuickTrack is designed specifically for QuickBooks Desktop, including QuickBooks Enterprise. It syncs through the QuickBooks Web Connector, the same tool many desktop add-ons use, so job lists, employees, service items, and payroll items come straight from your company file.

Does QuickBooks time tracking record employee location?

QuickTrack includes an optional work-location rule. An admin marks approved shop or yard locations on a map and turns the rule on. While it is on, employees can only clock on or off when their phone reports they are inside an approved location. When the rule is off, no location is required.

How do employees get access?

There is no self sign-up. The admin adds each employee from the Team tab and sets their QuickBooks employee ID, which is what ties their hours to the right person on the QuickBooks timesheet. Employees then sign in with the email and password the admin gives them.

Can tracked time be billable?

Yes. Each employee can have a default billable setting, and each time entry carries a service item (such as your shop-time labor codes) and a payroll item. When approved hours sync to QuickBooks, those items go with them, so billable time flows into invoicing and non-billable time stays on payroll.
